Dear brothers and sisters,

We write to you today to alert you to an urgent notification we received from Fr. Miguel Calle, OCD (Superior General) and Fr. Ramiro Casale, OCD (OCDS General Delegate) regarding the sanatio in radice.

Last year our communities went through the process of requesting a sanatio in radice for our community members whose First Promise had expired before they made their Definitive Promise. Our request was received directly by the OCD General Definitory.

Unfortunately, this year we find there is another step we must complete to correct this situation.  This means, that even if you remade your promise or thought you received the sanatio in radice, we still have this additional step to complete. Please remember to include your leave of absence and extended members in this additional step.  

Fr. Calle and Fr. Casale were informed that the request for the sanatio in radice must be received by the Holy See. We have been requested to provide two items:

  1. a list of names of members in an irregular situation with their promise having expired;

  2. and a second list, separate from the first list, of signatures of all the members identified on the first list.

The Provincial Council will gather the information into one document and send it to Rome accompanied by a letter from Fr. George Mangiaracina, OCD, our Provincial Delegate, requesting the Holy See accept the request from the OCDS members of our province. We are under a very tight deadline so we request your utmost cooperation and prompt attention to this important matter

Presidents & Moderators:

Using the Community Member Names form, (Click on Gold Button above) enter the requested information about your community and list each of your members in an irregular situation in the space provided on the form. It is important that you SEPARATE EACH MEMBER’S NAME WITH A COMMA.

When you are finished, submit the form. You should include all members in an irregular situation, including those on a leave of absence and in particular, extended members who are competent to understand what they will be requested to sign.

Note: The Google Form can be updated after you submit it. A copy of your response is sent to your email with a link to update the information.

Part 2 Information must be completed by March 4, 2025

From the Gold Button above, print out the Multiple Member Signature form. Complete the community identifying information and then at your February meeting, have each member in the irregular situation print their name and sign on the same line next to their name. This form should be submitted electronically.

Please scan this document into your computer in a PDF format (images, for example: JPEG and BMP, are not acceptable). Attach this PDF file to an email and send it to the Provincial Council at: PCOCDS@PCOCDS.ONMICROSOFT.COM no later than March 4, 2025.

If you are absolutely unable to send this form electronically, then make a copy to retain for your records and mail the original to:

If a member in the irregular situation is absent from the meeting, or is an extended member, or is on leave of absence, forward the Individual Signature Form found above (gold button) to your member either electronically or via the US Postal Service.  Be sure to complete the community information at the top of the form before sending it to your member.

After the member signs the form, they should scan this document into their computer in a PDF format, attach it to an email and send it to the Provincial Council at: PCOCDS@PCOCDS.ONMICROSOFT.COM no later than March 4, 2025.

If they are absolutely unable to send this form electronically, then they should make a copy to retain for their records and mail the original to:

FREQUENTLY ASKED QUESTIONS

for Members with Irregular Promises

Can we use the individual signature form for all of our members to sign who are in an irregular situation?

No. We have been instructed to submit as few pages a possible.  Use the group signature form to collect as many signatures as possible and only distribute the individual signature form to those who are too far away to obtain their signatures in person.

 

Can the community collect the individual signature forms and submit them on behalf of the member?

Yes. Just be cognizant of the tight timeframe and submit them in ample time before the due date. All signatures must be RECEIVED BY US by March 4, 2025.

 

Can members who are absent, or extended, or on leave of absence provide an electronically signed form?

Yes. As long as the member is familiar and knows how to provide an electronic signature and does not need assistance, you may contact the email address above and request a form be sent directly to the member so that it can be completed and signed electronically.

 

Will there be another opportunity to remedy irregular promises?

People will always be able to ask for a sanatio in radice but after the deadline there are no other dates planned. They will have to apply later on if they desire a sanatio in radice but an intervention of the Holy See will always be required. At this point we do not have any further instruction on how to process future requests.

 

What if we submit the forms late?

Only the forms received on time will be processed and forwarded to Rome. This is why it is imperative that we submit the forms on time. The President/ Moderator will be informed of any forms received after the established deadlines.

 

I thought I had corrected the irregular situation when we held a special ceremony to make our final promise.  Didn’t that special ceremony resolve the issue?

No. It didn’t completely resolve the issue. Your name and signature must be submitted to the Holy See to finalize the sanatio in radice.

 

I wasn’t able to participate in the previous special ceremony. Can my name and signature be submitted now to finally resolve my irregular situation?

Yes. Your name and signature can be submitted now.

How are you defining an “irregular situation”?

An irregular situation exists if the final (definitive) promise occurred more than three years to the day, after the first promise.  If a member previously remade their promise or was exempt from remaking their promise, this is still currently being defined as an irregular situation.

Who is to be included as having an “irregular situation”?

The people with an irregular situation to be included are:

  • Members who were in an irregular situation and remade their promise;

  • Members who were exempted from remaking their promise, for any reason;

  • Members who should have but didn’t remake their promise, for any reason;

  • Anyone who meets the definition of an irregular situation. 

Who is to be excluded from having an “irregular situation”?

The only people with an irregular situation to be excluded are:

  • Members who do not have the capacity to understand what they are signing;

  • Deceased members;

  • Your members who transferred to another community – (the new community should be addressing this on their behalf);

  • Members who left your community for any reason.

     

Am I able to update the “Community Member Names form ” I already submitted electronically on Part 1?

YES! If you have already submitted your Community Member Names form, you can still edit your form and add or revise the names submitted based on this clarification. When you submit the Google Form, a copy of your response is sent to your email with a link to update the information. (Check your Spam folder if you can’t locate it).

“In the letter I sent you on September 30, 2024, I brought to your attention the importance of not letting the first promise of the OCDS expire, which has juridical value and is valid for three years (cfr. OCDS Const. 36c). Unfortunately, we continue to experience the little importance that some circumscriptions give to this important fact. There are many brothers and sisters of the OCDS who find themselves in irregular situations regarding their promise. Some have let their first promise expire and continue their life in community without formally extending it and others have made their definitive promise having let the first promise expire. It is necessary to remember that the promises in the OCDS — with due distinctions, of course — are as important as the vows are for the nuns and friars in our Order. The OCDS is not a devotional group or association, its members are members of the Order of Discalced Carmelites and must fulfill what is required of them in their Constitutions.

I explained to you that a sanatio in radice was necessary to regularize these situations and I asked you to request it by writing to the OCDS Secretariat in Rome, in the case you have members who find themselves in these situations. Many circumscriptions have requested it and some others — in which we know there are people in irregular situations — have not done so.”
